Farmer and Agronomist Permissions

Agworld is the platform on which agronomists create and distribute agronomic advice and where farmers receive this advice and record actual farm data. Permissions in Agworld are designed to manage the connections between farmers and agronomists. Data security in Agworld and clear permissions are crucial as the information being shared and stored on the platform is of high value to each party.

In this document, the permissions existing in Agworld (as of February 2020) will be explained. This includes:

  • Which permissions are granted to which party when accounts are created in Agworld
  • Who owns the data that is entered into Agworld
  • Who can view the data in Agworld and how they gain visibility of this data

Introduction to permissions

Permissions as discussed in this document refer to the rules governing specific components of a users account in Agworld. These components are different for users depending on whether they are Farmers or Agronomists and grant visibility on information such as financial data, crop plans and maps.

Agworld Term Definitions

Permissions: Rules in Agworld that allow users to see certain pieces of information

Components: The connections that allow Agronomists to view specific categories of client data. Each component allows certain visibility (for example the Financial Viewer component gives the user the permission to view prices on jobs and run financial reports).

Component types:

  • Agronomist - Enables the agronomist to view, create and edit jobs and otherwise manage a client's farm maps, crop rotations, pins and view client actuals.
  • Ad Hoc Agronomist - Enables the agronomist to view, edit and manage only the jobs they and their colleagues create and to view farm maps and rotation data for a client (no visibility of client jobs).
  • Farm Planner - Enables the user to view, create and edit a farm plan for their clients.
  • Financial Viewer - Allows viewing of financials, including farm performance and activity pricing.
  • Financial Editor - Allows editing of financials, including farm performance and activity pricing.
  • Application Contractor - Grants the ability to view client farm maps and jobs where they are the assigned applicator and to create, view and report on their actuals and records.
  • External Admin - Grants the agronomist temporary administration rights to a farm company including the ability to change users, add new users, manage company details and manage company relationships on behalf of the farmer.
  • Company Admin - Allows a user to manage their company connections, users, price list and company information.
  • Reseller Agronomist - Allows a user to view all clients across multiple agronomists within a business. They can see all maps and can create and run custom reports across the whole branch client list.

User: An Agworld account (name, email address and password)

Company: A group of users (farmers or agronomists) with visibility on the same information (farms, clients, fields, jobs)

Colleague: Users within the same company

Subscriptions: A purchased level of access to allow the entry and analysis of data in Agworld

Agworld Admin: Agworld Customer Success employee

Activate/Activation: The act of logging in to a users' Agworld account for the first time

Verify/Verification: An Agworld Admin confirming that a users' company is accurate and correct and activating it on their behalf. The company in Agworld must have verifiable details in the company details or users page - address, email, phone number etc.

Farm Performance: The combined actual data to show a farm's profitability

Activities/Jobs (Plans, Recommendations, Work Orders, Actuals): Digital records with a date, time, location and product/cost data - these are the core pieces of information shared in Agworld to communicate agronomic advice and farm records.

Authored data: The jobs created by a user (not inclusive of maps). The author is the owner of the job. These can only be edited or overwritten by another user in certain circumstances (e.g. an agronomist and a farmer both have planning permission to the farm). Recommendations can only ever be edited by the author.

Templates (Crop and Activity): Activity blueprints; saved job data with a date, time and product/cost data - to be used to pre-fill jobs

Suspended: A user's account is put on hold so they can no longer access Agworld or input data. Their authored data remains in Agworld and is still reportable for their colleagues

Connect/Disconnect accounts: The act of giving or removing components from an agronomist to a farm company (i.e. an agronomist connects to a farm company as an Agronomist to see maps, jobs and agronomic summaries)

Default Agworld Reports: The reports on the website generated in PDF format on plans, actuals or recommendations (under the Reporting tab).

Components explained

For Farmers in their own company:

  • Company Administration - Grants the user full permission to change company details including agronomist connections, user profiles, subscription management. Is given to the first user added into a farm company (either the farmer who created the account, or the name and email address entered by the agronomist who created the account). Visibility of all financial permission on jobs (plans, recommendations, actuals) and all Farm Performance information. Allows the user to override their colleagues jobs without changing the author. I.e. a Farm Manager can change a Farm Staff's actuals, but the author is still the Farm Staff.
  • Financial Viewer - The ability to view financial information and run reports is granted by Company Admin and Financial Viewer. This permission allows the user to see financials in the Snapshot in the Agworld app.
  • Company Administration - Allows the user to manage all company information: users, price management, subscription allocation

For Agronomists to Farm Companies

External Administration

  • Is automatically given to the agronomist who created the farm account. Grants the user full permission to change company details including agronomist connections, user profiles, subscription management. When an agronomist holds External Admin, they are a temporary placeholder for the Company Administrator of the farm account; they act on behalf of the farmer.
  • External Admin also automatically gives Financial Editor permissions as well as the ability to edit all farm actuals regardless of the activity's author.
  • The External Admin can accept and reject connection requests from other Agronomists and Contractors.
  • Cannot be moved or granted to any other agronomist except by an Agworld Admin and only in the situation where the farm account does not have an active Company Administrator (farmer).
  • Can be removed by the farmer who is named as the Company Administrator - the user who is added when the account is created. If the farmer removes this permission, they can re-enable the External Admin permission, at any time, from their connection management page.

Farm Planner

  • Gives the agronomist full permission to view and edit crop plans.
  • Can be added or removed by the farm Company Administrator, the agronomist with External Admin or by Agworld Admin.
  • By default, plans are kept private and hidden between agronomists in competing companies. They can be made visible by the farmer enabling third party planning visibility which will enable two agronomists from different companies to see and alter each others' plans.
  • Allows the farmer and connected agronomist to copy, save and create templates from all previous visible crop plans.

Agronomist

  • Allows the user to view all agronomic information for the farm, specifically, the farm maps, actuals, crop rotation and any recommendations they or their colleagues have authored. This enables the agronomist to view any farmer authored data.

Ad Hoc Agronomist

  • Allows the agronomist to see the client's maps, rotation history and create recommendations, observations, work orders and actuals. They will not be able to see any information from outside their company (i.e. their client's farm records). They can see any jobs their colleagues have authored if they are connected to the same client.

Financial Viewer

  • Visibility of all financial information on jobs (plans, recommendations, actuals) and all Farm Performance data.

Agronomy Companies

Company groups and user profiles exist in Agworld to suit business structures. Agronomy companies in Agworld can be created as individual branches, or in a company group for large suppliers with multiple branches and employees. Within these branches, agronomists have individual user accounts and client lists so they can manage and communicate with their clients.

Agronomy companies are created by agronomists or by Agworld Admin at the request of the agronomy company. These companies and their users are administered at the branch level by the Company Administrator - a permission granted to the first user in the company, or the user granted Company Admin by the first user. This is by default, but can be altered by Agworld Admin. They can also be managed by users in the companies above them, if they are in a company group. For example, an agronomy company has a Head Office in Melbourne and 3 branches in rural Victoria. The Company Administrator in each of the 3 branches can request agronomists be added or suspended within their branch. The Company Admin in the Head Office company can request any agronomist in any of the branches be added or suspended. Users

Without Company Administration, users do not have permission within Agworld to request changes to any other agronomists' account without the approval of the Company Administrator.

Farm Companies

Farm companies in Agworld can be created by the farmer themselves, or by an agronomist on behalf of the farmer. When a new farm company is created, the person creating the farm account enters in the following details:

  • A farm company name
  • A user name for the farmer
  • A user email address
  • A user phone number
  • A company address

If the account is being created by an agronomist, the information in the account is only accessible or visible to the agronomist who created the account and their colleagues if they send connection requests to this farm company.

The account is left as pending until the farmer is invited to log in by the agronomist or the farmer manually activates their account via the support page, or by contacting Agworld Admin. Agworld accounts are only manually verified by Agworld Admin if the farmer is unable to activate the account themselves.

The farmer can activate or verify this account at any time after the account has been created by their agronomist. They do this by:

  • Following an activation link in an email that can be manually sent to them by their agronomist
  • Following activation links from activity emails (i.e. recommendations) that are sent to them via Agworld
  • Clicking on the "Reset my password" link on the Agworld login screen

Upon activation, the primary farmer user in the account (i.e. the person named by the agronomist as the account holder), becomes the Company Administrator. This permission gives them full control of their Agworld account and farm company. They may, at this point, decide to maintain their agronomists' External Administration permission, or revoke it.

Connecting Agronomists to Farms

When an agronomist creates a company in Agworld, they are automatically connected with External Administration and the components they selected when creating the account (e.g. Farm Planner and Agronomist).

If a farm was created by a farmer and an agronomist needs to get connected, they can send a connection request to the farmer requesting certain components to the farm company (usually Agronomist, Farm Planner and Financial Viewer). This request is sent via email to the user in the farm company with Company Administration. They can then accept or reject this request. If they accept, the agronomist will be able to access their account straight away. If the farmer does nothing, or rejects the request, the agronomist will not be able to see any of the farmers' information.

If a farm was created by an agronomist and their colleague wants to get connected, the colleague can send a connection request which will be automatically granted. Colleagues can share clients provided at least one of the agronomists has the External Administration component to the client.

If a farm was created by an agronomist and an agronomist from another company wants to get connected, the second agronomist will need to send a connection request to the farm company. This connection request will be emailed to the farmer (if they have activated their account) AND to the agronomist with External Admin to the farm company. If the farmer has not activated or verified their Agworld account, the agronomist with External Admin will be able to accept or reject the connection request.

Removing Components

At any point in time, the active farmer (with Company Administration) can remove certain components from their connected agronomists. For example, a farmer could remove the Farm Planner component from a connected agronomist which would then prevent that agronomist from creating new plans or viewing the farmers' Farm Planning page. A farmer can remove all, or some components from their connected agronomists.

Disconnecting Farms from Agronomists

Why do Farms get disconnected from Agronomists? What are the range of circumstances where disconnections occur?

Disconnecting is the removal of all of an agronomist's components to a farm company. This will prevent the agronomist from seeing any of the farmers' authored data, the farm maps and any rotation information. This does not automatically delete or prevent the agronomist from accessing their historic authored jobs. The agronomist can still see, edit, delete and report on their authored jobs (plans, recommendations, actuals).

Agronomists can be disconnected by:

  • Removing the components themselves
  • The farmer removing their components
  • Agworld Admin removing their components
  • Another agronomist with External Administration to the farm company removing their components

The disconnected agronomist will no longer be able to:

  • View the client maps
  • View any jobs authored by the client or their staff
  • Create new jobs/plans for the client

They will be able to:

  • View, edit and delete any of their historic authored jobs through Jobs and Job Activities
  • Run Custom Reports on their authored data
  • Re-send a connection request to be approved by the farmer or the External Admin to regain permission to create new data.

What activities (Plans, Recs, Observations, Actuals) remain visible to the farmer after an agronomist has been disconnected?

The farmer will still be able to view and report on any jobs data created by the disconnected agronomist. The grower cannot edit or delete agronomist authored Work Orders or Recommendations, but they can edit and delete Plans and Actuals. If a new agronomist from another company becomes connected, they will never be able to see a competing agronomists' Recommendations.

By default, plans are kept private and hidden between agronomists in competing companies. This can be overridden by the farmer, if they wish for another agronomist to view the farm plans. Agronomist authored plans can be shared by the farmer with other agronomists in Agworld by enabling third party planning. The farmer, and any other agronomist they allow access to their plans, can edit and delete any crop plans, created by any user.

Agronomists leaving Agronomy Companies

When an agronomist leaves an agronomy company, the Company Administrator can request Agworld Admin suspend their account. This will prevent the agronomist from accessing their Agworld account on any device. The agronomists' authored data and their connections to their clients will continue to exist in Agworld - these connections can be easily transferred to another agronomist in the company by sending connection requests, or by Agworld Admin. Recommendations and plans will be visible and reportable to any agronomist in the company connected to the same client.
